Create a private event in Outlook

In a Microsoft 365 organization or an Exchange organization, others within your organization can see your calendar details. Marking an event private hides those details from everyone other than you and any others in your organization to whom you've granted read permissions to your calendar or to your mailbox. For example, marking an event private will not hide its details from anyone with delegate access to your calendar or who has Send As permissions for your mailbox.

Tip

To make sure that other people can't read the item that you mark as private, don't grant them read permission to your Calendar, Contacts, and Tasks folders.

Create an event and make it private in new Outlook

  1. In the Calendar, select New event.
  2. Enter a title for the event in the Add title field.
  3. Select a suggested time slot, or manually enter a date and start and end times on the event tab. To turn your appointment into an all day event, check the box next to All day.
  4. Add any additional details, such as a location, attendees, or a description.
  5. To change how your availability appears to others, select the availability dropdown in the ribbon and choose the desired availability status, such as Free, Busy, or Out of Office.
  6. A new event is not private by default. To make it private, select the drop down next to the Not private option and select Private.
  7. Select Save.
